Using Akademia - Adding a Timetable

Tap ‘Add New Timetable’.

Choose ‘Create New’ (which will begin a fresh,new timetable) or ‘Copy timetable’ (in which case you’ll choose an existing timetable to copy and get a new timetable with all original timetable’s day structure and lessons already filled in – you can then then edit timeslots to change times and subjects etc. as appropriate.

If you’re creating another new timetable, enter a name when prompted, and tap Done.

Create The Day Structure

The first guide timeslot shown is 8-9am. Swipe up or down to change the time of the slot. Guide timeslots are always an hour until you create them, then you can change the start and end time.

When you’ve put the guide timeslot to the right time, tap to create it. It will turn blue, and the next guide timeslot will appear before or after it.

To change the start or end time either use the resizing controls (the blue circle at the top and bottom) or tap for Actions and choose Edit start or finish time.

If you added the timeslot in error, you can delete it from the "Actions" list.

Don’t tap Completed Day Structure until you aree happy that all the timeslots have been added!

Add more timeslots until your usual day is complete. You can leave gaps between timeslots if you wish, e.g. for lunch or breaks. Timeslots cannot overlap, but you can tap on any timeslot at any time to change its start or end time, so if you want to make a timeslot begin earlier, but thatoverlaps another previous slot, then first make the previous timeslot end earlier before changing the other’s start time.

When the Day Structure is complete, tap Actions then Competed Day Structure.

Apply The Day Structure to Days Of The Week

Select which days of the week to apply the times to - don’t worry if some days are different, you can change any individual days of the week later.

Monday to Friday are selected by default – tap a day to select or deselect. Tap Done when you’re finished!

Add Subjects To The Lesson Times For Each Day

You will first see Monday showing the first created timeslot.

Swipe left or right to see the next or previous days - swipe up or down to see later or earlier times.

Any timeslot on any day may be changed. Tap on a timeslot to make it ‘active’ (it will show bright blue).

To change the start or end time either use the resizing controls (the blue circle at the top and bottom) or tap for Actions and choose Edit start or finish time.

If wish to remove this particular timeslot, you can delete it from the Actions list.

Don’t tap Completed my Timetable until you’re happy that all the timeslots have been added!

You can also add new timeslots to any day. Where there are gaps, or at the start and end of the existing timeslots, the app will show you guide timeslots. Tap if you wish to add a new one for that day.

To add a Subject to a timeslot, tap the timeslot to make it ‘active’, then tap again or tap the Actions button and select Choose Lesson.

You can choose between adding a Lesson (one of your Subjects), a Study Period (can be a Subject or a general Study period) or a ‘Custom’ lesson (something which is not a subject or study period, e.g. assembly or football practice).

If you choose a Lesson, you will choose from the list of your Subjects. The default teacher will be shown however you can tap to change the teacher to another from your list. You can also enter a room number for the lesson.

If you choose a Study Period, you will choose from the list of your Subjects. (or you may choose No Subject for a general Study period) or a ‘Custom’ event (something which is not a subject or study period, e.g. assembly or football practice).

If you choose a ‘Custom’ event (something which is not a subject or study period, e.g. assembly or football practice), you must enter your own title and if you wish also add notes.

Tap Done and the timeslot will be shown with the details of the Lesson / Study period / Custom event.

If you made a mistake, tap the timeslot again and select Choose Lesson to change it.

Do this for every timeslot in your week. When the timetable is complete, tap Actions, then Completed my timetable. The app will warn you if there are any timeslots without lessons added.

Change the Applied Timetable

If you wish to change the timetable in your app, then (once you have created it) tap on Week A, and select the new timetable you want. Note that changes to the timetable will only happen from today or tomorrow (you get the choice). If you choose today, you could lose any lesson reviews already created today.

If you have a two week timetable where the first week is different from the next, and the fortnight pattern repeats, we call this Week A and Week B. You change the timetable for Week B in same way as for week A.

Setting Terms Dates

Tap to set/edit term dates. These dates determine which dates your timetable is shown, and which are left blank. You can change these at any time although changes will only apply from today or tomorrow.

If you have a two week timetable, you must specify whether the first full week of each term is the Week A timetable or the Week B timetable to ensure that the dates are correct for you.
